Zoom Admin: Licenses, Settings and Fixes Without the Console

Zoom licenses, recordings and settings, handled without the admin console.

The Zoom Admin is an AI Zoom admin in the Ai1 platform by MyZone AI that handles licenses, recordings, security settings and meeting problems from a plain request, does only what your Zoom role allows and previews each change: changes wait for a go-ahead in chat, and Zoom Admin applies the approved ones.

We'll show you the Zoom Admin on your own Zoom account. Each change waits for your go-ahead in chat.

Plans & pricing

  • No more console hunting

Zoom settings live at account, group and user level and are easy to get wrong. One request replaces a long search through admin screens.

  • Safer meetings by default

Passcodes, waiting rooms, restricted screen sharing and protected recording links are kept as the baseline, not left to chance.

  • Clean starts and exits

New starters get the right license, and leavers' recordings and meetings are moved before any account is closed.

What the Zoom Admin does for you

  • Manages users and licenses

Zoom license management covers adding new people, upgrading or downgrading licenses, assigning extras such as Webinar, Phone or Large Meeting, and deactivating leavers after moving their recordings and meetings.

  • Checks and changes security settings

Reviews Zoom security settings such as waiting rooms, passcodes, screen sharing, recording consent and encryption, and shows the current value and who is affected before any change.

  • Looks after cloud recordings

Finds Zoom recordings, applies safe sharing such as passcodes, link expiry and restricted downloads, moves ownership and restores deleted files within the recovery window.

  • Pulls usage and quality reports

Shows who is active, how licenses are used and where meeting quality or audio problems came from.

  • Handles the Zoom part of joining and leaving

Provisions, licenses and transfers recordings as part of your wider onboarding and offboarding.

How the Zoom Admin differs from the Zoom admin console

The admin console spreads settings across account, group and user levels, and it is easy to change the wrong one. The Zoom Admin takes a plain request, checks your Zoom role and shows the current value, the new value and who is affected. Changes wait for a go-ahead in chat, and Zoom Admin applies the approved ones. Deletions need a typed confirmation, and it never quietly raises anyone's permissions.

From your request to a finished result

It runs inside your Ai1 system and works in the tools you already use. You ask, it works, it reports, and it stops for your OK where it matters.

How the Zoom Admin works: you ask through the Comms Hub and Ai1 runs the steps: ask, check permissions, preview, confirm and apply and report. It works with Zoom. You approve at: check permissions, preview, confirm. It returns a usage reports.

Step 1: Ask

Say what you need in your own words, such as a seat for a new hire or a recording to share.

You approve

Step 2: Check permissions

It checks that your Zoom role covers the request. Anyone can look settings and usage up.

Step 3: Preview

For a settings change it shows the current value, the new value and who will be affected.

You approve

Step 4: Confirm

Changes wait for your go-ahead in chat. Deletions, transfers and account-wide locks need an explicit confirmation first.

Step 5: Apply and report

Zoom Admin applies the approved change and tells you exactly what was done and how to undo it.

Illustrative photo. Ask in plain words for a new starter to get a licensed seat.
  • A new hire starts next week
It sends the invite with the right license and any extras they need, ready for their first day.
  • A sensitive recording needs sharing safely
It finds the recording and adds a passcode, sign-in requirement and expiry date before you send the link.
  • Uninvited guests keep joining meetings
It previews turning on waiting rooms for everyone, then applies and locks the setting after your go-ahead.
  • Paid seats seem higher than the team needs
It reports who is active and which licenses sit unused, so you can decide what to change at renewal.
  • A meeting had poor audio
It pulls the quality and usage reports needed to find the cause, with no console login required.

What you get

  • Licensed users with the right extras assigned
  • Leavers offboarded with recordings and meetings transferred
  • Settings changes previewed, applied and reported with an undo path
  • Cloud recordings secured, moved or recovered
  • Usage, license and meeting quality reports

Example: Zoom account review before renewal

Example with a fictional company. Names, people and figures are invented to show the agent's output. Any resemblance to a real company or person is unintended. Industry facts are real and cited with their sources.

What it was asked: Before our Zoom renewal next month, check how many paid seats we really use, whether our meeting and recording security is right, and tidy up after two interpreters who left.

Example report
A video meeting account review summary shows 15 of 40 paid seats idle, 14 people with no waiting room, 17 openly shared recordings and 4 days left to recover a deleted recording, with three headline findings.
Review summary
A bar and table break down 40 paid seats into in use, held by leavers, idle for 90 days and unassigned, with a recommendation for each and a note that the plan's seat count is changed by the client's purchasing lead.
Seats and licences
A table shows six meeting and recording settings with the account value, whether it is locked, group or user changes and what people actually get, plus boxes on openly shared recordings and a recording in the trash.
Security settings and recordings
Seven proposed changes, each showing who it affects, the confirmation needed, whether it can be undone and a waiting status, followed by next steps, method, cited sources and a trademark note.
Proposed changes and next steps

What it found: 3 findings, with the numbers

  • 15 of the 40 paid Licensed seats are doing no work: 6 are unassigned, 2 belong to interpreters who left, and 7 to people with no sign-in or hosted meeting in 90 days.
  • The waiting room is on for the account but was never locked, so the interpreting team's group turned it off and its 14 members run client sessions without one.
  • 17 recordings of client sessions are shared by open link with downloads allowed and no expiry, and a deleted recording a client asked for can only be recovered for 4 more days.

Zoom Admin checked that the requester is a Zoom account admin, then read the user list, seat count, 90-day active-host report, settings at account, group and user level with their locks, cloud recordings and the recording trash. The review changed nothing; after a go-ahead in chat Zoom Admin applies each change, while lowering the plan's seat count stays with the client's purchasing lead. Meeting quality, sign-in logs, phone and room systems were not reviewed. Run date: .

It asks before it acts

Every Ai1 agent works under human approval. Here is how the Zoom Admin keeps you in control.

  • It does only what your Zoom role allows. If you lack the access, it says so and offers to pass the request to someone who has it.
  • Settings changes show the current value, the new value and who is affected before they are applied.
  • Deletions, account-wide changes and anything irreversible need an explicit typed confirmation.
  • It never quietly raises anyone's permissions.

Frequently asked questions about the Zoom Admin

What does Zoom license management involve?

Adding new people, upgrading or downgrading licenses, assigning extras such as Webinar, Phone or Large Meeting, and deactivating leavers after their recordings and meetings are moved. The Zoom Admin in Ai1 by MyZone AI also reports which licenses sit unused, so you can decide what to change at renewal.

A deactivated user can be reactivated, but a fully deleted account cannot be recovered, which is why it confirms twice. It covers licensing and settings for Phone, Webinar and Rooms, but does not build new integrations or change your contract.

Which Zoom security settings matter most for client meetings?

Waiting rooms, passcodes, who can share their screen, recording consent and encryption. Settings live at account, group and user level, so a group can switch off what the account turned on unless the setting is locked. The Zoom Admin shows the current value and who is affected before any change.

Changing other people's accounts or account-wide settings needs the right Zoom admin access, and it checks before acting. It never raises your permissions on its own.

How do I share a Zoom recording safely?

Add a passcode, require sign-in, set an expiry date and restrict downloads before the link goes out. The Zoom Admin finds the recording and sets those options.

If a recording was deleted by mistake, it can restore it within the 30 days Zoom keeps deleted cloud recordings in the trash, and warns you when time is running short.
