Brain Manager: Your Business Memory, Searchable and Kept Private

Ask what your business knows, and get one plain answer.

The Brain Manager is the company knowledge base AI agent in the Ai1 platform by MyZone AI: it runs the Brain on your Ai1 server, sets it up with you, adds each source only after a hand-checked run, searches your documents, wiki and knowledge graph at once and keeps private material out with filters you control.

We'll show you the Brain Manager on your own documents and sources. You decide what goes in and what stays out.

Plans & pricing

  • Answers without the digging

You, your team and your agents can ask what the business knows, rather than hunting through folders and inboxes.

  • You choose what goes in

Sources, how far back to load and what to keep out are agreed with you at setup, and you can change them whenever you like.

  • Quality you can follow

The Brain is scored against test questions before and after changes, so you can see whether it is getting better.

  • Private things stay out

Privacy filters and an email filter list that you control keep personal and excluded material out of the Brain.

The Brain Manager in short

What the Brain Manager does for you

  • Sets up your Brain with you

It starts with a report on what can be connected, suggested sync times and open questions, then a short interview on what to include, how often to sync, how far back to go and which email to leave out.

  • Adds new sources carefully

Each new data source is connected, run once by hand so the results can be checked, and only then put on a schedule.

  • Searches all three layers at once

One search covers your documents, the compiled company wiki and the knowledge graph of how people, projects and topics connect, with a plain answer about what the Brain knows.

  • Keeps the Brain healthy

It checks that sources are current and syncs are running, spots anything that has gone stale and explains what happened.

  • Measures answer quality

It scores the Brain against a set of test questions before and after any change that could affect it, so tuning is backed by a measurement.

  • Keeps private material out

Privacy filters plus an email filter list of senders, domains or phrases stop personal and excluded content from entering the Brain.

How the Brain Manager differs from searching a shared drive

A shared drive search lists files and leaves you to piece the answer together. The Brain Manager runs one search across your documents, a compiled wiki and a knowledge graph of how things connect, then gives a plain answer. It agrees sources and filters with you, checks every new source by hand before scheduling it and scores answer quality before and after each change.

How this differs from the Memory Manager: the Memory Manager looks after the wider health of what your Ai1 server and its agents know, while the Brain Manager runs the Brain itself.

From your request to a finished result

It runs inside your Ai1 system and works in the tools you already use. You ask, it works, it reports, and it stops for your OK where it matters.

How the Brain Manager works: you ask through the Comms Hub and Ai1 runs the steps: report, interview, connect, check and improve. It returns a setup report.

Step 1: Report

It reports what can be connected and lists the questions that need your decision.

Step 2: Interview

You agree the sources, sync times, how much history to load and the filters.

Step 3: Connect

Each source is run once by hand and checked before it goes on a schedule.

Step 4: Check

A health check confirms every source is flowing and nothing has gone stale.

Step 5: Improve

Quality is scored before and after each change, so you can see the effect.

  • The Brain has just been installed on your Ai1 server
It runs the setup report and the interview, then connects the sources you agreed.
  • You want a shared drive included
It connects the drive through the secure credentials store, checks a first run by hand and then schedules it.
  • You need to know what the business knows about a supplier
It searches every layer and gives you one plain answer instead of a list of files.
  • Answers seem out of date
It runs a health check and tells you which source has gone stale and why.
  • Newsletters are cluttering the results
It adds the senders to the email filter list and measures quality before and after the change.

What you get

  • A setup report on what can be connected, with suggested sync times and open questions
  • Agreed sources, history and filters from the setup interview
  • Plain answers drawn from documents, the wiki and the map of connections
  • Health checks that name any stale source or stopped sync
  • Quality scores from test questions, before and after each change

What it won't do

  • Write reports, SEO work or outreach that uses Brain dataHandled by: The relevant specialist agent
  • Build new skills for your agentsHandled by: Skill Manager
  • Change how the Brain itself is installedHandled by: The team that owns the install, on request

Example: Brain check-up with a supplier search

Example with a fictional company. Names, people and figures are invented to show the agent's output. Any resemblance to a real company or person is unintended.

What it was asked: What does the Brain know about Thackenmoor Timber, and can I trust it? Some answers lately feel out of date and full of newsletters.

Example report
A plain-English answer about a timber supplier above three cards showing what came from the wiki, from documents and from the knowledge graph, with an amber note that one source is 9 days out of date.
The answer, drawn from all three layers of the Brain
A table of data sources with item counts, last sync times, hourly or weekly schedules and status dots, one red, beside three notes: what went wrong, what a person did, and what the agent checked before restarting the schedule.
Health check: one source had stopped, and a person reconnected it
An average score of 6.3 out of 10 with a table of scores by topic and a table of the five weakest answers with the reason for each, plus a note that about a third of the email is newsletters.
Quality score: 16 test questions, and why some answers were weak
A table of six proposed email filter entries, five marked approved and one kept in by the owner, beside before and after bars showing the quality score rising from 6.3 to 7.3, an honest reading of where the gain came from, and next steps.
Email filter list: the owner chose what to keep out, then the score was taken again

What it found: 3 findings, with the numbers

  • Thackenmoor Timber is the yard's biggest timber supplier, with $48,210 of bills so far this year (58% of timber spend), but its newest price list was missing from the Brain.
  • Google Drive had not synced for 9 days after the shared drive changed owner; once the yard manager reconnected it, a hand-checked run brought in 212 files, including the autumn price list.
  • About a third of the email (2,611 of 7,560 threads) was newsletters; the owner approved 5 of 6 filter entries, and the quality score rose from 6.3 to 7.3 out of 10.

The sample follows Brain Manager's real check-up steps: one search across documents, wiki and knowledge graph, a health check of every source and weekly job, a 16-question quality score marked 0 to 10, an email filter list change, and a second score. Every company, figure, address and result is invented and no real mailbox, drive or accounts were read. A person reconnected the drive and the owner approved the filter entries; removing old newsletter threads is left waiting for the owner. Run date: .

It asks before it acts

Every Ai1 agent works under human approval. Here is how the Brain Manager keeps you in control.

  • It works only on the Brain of the Ai1 server it runs on, and only once the Brain is installed there.
  • The owner, or the person who manages their account, is the one who talks to it.
  • Logins for each source go into the secure credentials store and are referred to by name only, never shown in chat, logs or reports.
  • A new source is checked by hand before it is ever scheduled.
  • What goes in, how far back and what stays out are agreed with you and can be changed at any time.

Frequently asked questions about the Brain Manager

What is a searchable business memory?

One place to ask what your business knows, built from documents, email and other sources you choose. In Ai1 by MyZone AI it is called the Brain, and the Brain Manager runs it: it agrees the sources with you, checks each one by hand before scheduling it and keeps private material out.

That is what sets it apart from a shared folder, which only stores files. The Brain searches your documents, a compiled wiki and a map of how things connect in one go, then gives you a plain answer about what the business knows.

Can a company wiki be compiled from our own documents?

Yes. The Brain compiles a company wiki from the sources you agree at setup, alongside a search across the documents themselves.

Quick checks for anything new run every hour, and heavier work, such as rebuilding the wiki or the map of connections, runs once a week.

What does a knowledge graph add to searching a business's own files?

It maps how people, projects and topics connect, so an answer can draw on related facts rather than single files. The Brain Manager searches the knowledge graph together with your documents and the wiki, and gives you one plain answer about what the Brain knows.

The Brain Manager runs the Brain itself: setup, sources, search, filters and quality. The Memory Manager looks after the wider health of what your Ai1 server and its agents know.

Who talks to the Brain Manager, and how is private material kept out?

The owner, or the person who manages their account. It is available now on Ai1 servers where the Brain is installed, and it only ever works on that server's own Brain.

Logins for your sources are kept in the secure credentials store and referred to by name only, so they never appear in chat, logs or reports. To stop personal email ending up in the Brain, use the privacy filters and the email filter list: list senders, domains or phrases to leave out, and change the list whenever you want.
